Managing Contacts and Updating Client Status

Your Contacts tab in Sortelle AI is where you’ll manage lead profiles and keep your client pipeline organized. You can update opportunities, assign stages, and track where each lead is in your workflow.


1. View and Search Contacts

From your dashboard, click Contacts in the left-hand menu.

Here you can:

  • View all your leads

  • Search by name, number, or email

  • Filter by tags or custom fields

  • See last activity and creation date

🔍 Tip: Use the Smart Lists feature to group contacts by custom criteria like “Active Leads” or “VIP Clients.”


2. Add or Update Opportunities

To organize your leads in the Sortelle AI User Pipeline:

  1. Select one or more contacts using the checkbox.

  2. Click the opportunity icon (📈).

  3. Choose the pipeline (e.g. “Sortelle AI User Pipeline”).

  4. Pick the appropriate stage such as:

    • New Lead

    • Screening in Progress

    • Passed Screening

    • Appointment Scheduled / Deposit Paid

    • Client Met

    • Existing Client

    • No Show / Ghosted

  5. Give the action a name if needed (optional).

  6. Click Save.

This updates the client’s status in your pipeline so you can easily track progress from lead to client.


3. Why This Matters

Updating contact opportunities helps you:

  • See where each client is in your process

  • Trigger automations based on stage (optional)

  • Keep your client interactions organized and efficient

🧠 If you’re using AI automations, stages like “Passed Screening” or “Client Met” can be used to trigger different reply behaviors or tags.


4. Contact Details at a Glance

Click on any contact’s name to open their profile. Here you can:

  • See all messages and notes

  • View tags, automations, and last activity

  • Manually edit or update information


5. Optional: Automate Pipeline Movement

With advanced setup, you can create automations that move contacts to new stages based on events (e.g. screening completed, deposit paid). If you're interested in this, reach out to [email protected] for help.
