Understanding Lead Statuses in the Pipeline

Your Sortelle AI Pipeline helps you track and manage leads throughout their journey — from first message to paying client. Each pipeline stage represents a different milestone, helping you stay organized and quickly see where every lead stands.


📍 Pipeline Status Overview

Here’s a breakdown of each default Sortelle AI pipeline status:

  • New Lead
    This is the starting point. A new message has been received, but the lead hasn’t been screened or tagged yet.

  • Screening in Progress
    The AI is currently engaging the lead and asking screening questions. You can jump in manually if needed.

  • Passed Screening
    The lead has provided all necessary info and qualifies. They’re ready to move forward to scheduling or deposit.

  • Appointment Scheduled / Deposit Paid
    The lead has paid a deposit and booked a session (or is in the process of doing so).

  • Client Met (First Appointment Complete)
    This person has completed their first session and can now be marked as an existing client.

  • Existing Client
    Use this to label repeat or loyal clients. Helpful for future follow-ups or VIP treatment.

  • No Show / Ghosted
    Use this if a lead disappeared or stopped responding during the booking process.


✅ How to Move Leads Between Stages

You can update a lead’s pipeline status manually inside the Contacts tab:

  1. Click the checkbox next to a lead’s name.

  2. Click the flag icon to Add/Update Opportunity.

  3. Choose your pipeline (e.g., “Sortelle AI User Pipeline”).

  4. Select the appropriate stage.

  5. Add a quick Action Name (optional but useful for reporting).

  6. Click Save.

💡 Pro Tips

  • You don’t need to update these every day — Sortelle AI will handle most of this automatically if the pipeline is properly linked.

  • Use this tool to keep tabs on hot leads and prioritize follow-up.

  • Don’t forget: You can sort or filter contacts by pipeline stage for quick check-ins.
